How to collect wedding photos from guests in Google Drive
You can do it with a Google account: make a folder, share it with a link and turn the link into a QR code. What needs checking is whether guests can actually add photos from their own phones, so test it before the wedding.
Set up a shared Drive folder in seven steps
These follow Google's help pages on creating a folder and sharing files and folders. Menu names change from time to time.
1
Create a folder. In Google Drive, click New, then Folder, name it after the wedding and click Create.
2
Open the sharing settings. Select the folder and click Share.
3
Set general access. Under General access, choose Anyone with the link. Google says anyone with the link can use the file without signing in.
4
Pick a role. Google offers Viewer, Commenter and Editor. Choose Editor so guests can add photos. Viewer and Commenter will not let them. Editor access is broader, so read the next section first.
5
Copy the link. Click Copy link, then Done.
6
Turn the link into a QR code. Paste the link into any QR code generator, print the code on a sign and put it where guests will see it.
7
Test it as a guest. Open the link on a phone that is signed out of your Google account and try to add a photo. Google's help pages do not say whether a signed-out person can upload, so check what happens before the day.
What to check before you rely on it
Sign-in. Google says "Anyone with the link" lets people use a file without signing in. It does not say a signed-out guest can upload. Try it on a phone that is not logged in to your account.
Storage. Google says an uploaded file takes up space in the uploader's own Drive, even inside someone else's folder. A guest with a full account may not be able to add photos.
Editor access. An Editor can edit files and share them with others, not only add them. Do not post the link publicly, keep a backup copy of the photos, and switch the link off once you have collected everything.
Finding the link. Share the folder link with guests, or print its QR code on table signs. Put the code on every table and say where it is at the reception.
Everything in one folder. Photos and videos from the whole guest list land together, in whatever formats phones save. Plan time to sort them.
Google Drive or a QR code album
Drive suits a small wedding where guests already use Google accounts and you are happy to run the test above. Our Event Album is built for a room of mixed guests: they scan a QR code and their photos and videos go straight into one private gallery you download from.
| Shared Google Drive folder | Our Event Album | |
|---|---|---|
| How guests get in | They open the folder link. What they can do depends on the role you set and whether they are signed in. | They scan a QR code or open a link and upload from the phone browser. No account. |
| What guests can do | Google's roles are Viewer, Commenter and Editor. An Editor can edit files and share them with others. | Guests add photos and videos to the event gallery. The host controls the album. |
| Storage | Google says an uploaded file takes up space in the uploader's own Drive, even inside a folder owned by someone else. | Uploads go to your event gallery, with unlimited uploads and 6 months of hosting from the event date. |
| Printed QR sign | You make your own: put the folder link into a QR code generator and print it. | Printable sign templates (PDF) are included. |
| Getting it all back | Download the files from Drive. | Download every photo and video from one gallery at any time. |
| Cost | Uses a Google account. Uploads count against the uploader's own Drive storage. | One payment of US$39 per event, no subscription. |
Google Drive for wedding photos, answered
Can wedding guests upload photos to a Google Drive folder without a Google account?
Google says that with "Anyone with the link", people can use a file without signing in. Its help pages do not say whether a signed-out person can add files to a folder. Test the link on a phone that is signed out before you print anything.
Whose storage do guest uploads use in Google Drive?
Google says a file you upload takes up space in your own Drive, even when you upload into a folder owned by someone else. A guest whose own Drive is full may be unable to add photos.
Can I put a QR code on a Google Drive folder?
Yes. Copy the folder link and paste it into a QR code generator, then print the code on a table sign. Keep the sign near the entrance and on tables so guests see it early.
Is it safe to share a wedding photo folder with anyone who has the link?
Anyone who gets the link can use the folder, and the link can be forwarded. Set the role carefully, avoid posting the link publicly, and consider turning access back to Restricted after the wedding.
What is the alternative to Google Drive for collecting guest photos?
Our Event Album gives you one private gallery with a QR code and printable signs. Guests upload from their phone browser with no app or account, and you download everything afterwards. It is US$39 once per event.
